This policy document explains the “why” behind our pricing, helping you understand how group size impacts your investment and the level of service you receive on the road.
1. The Philosophy of Group Dynamics vs. Solo Travel
At Kuda Travel, we believe that the joy of discovery is often amplified when shared. However, from an operational standpoint, there is a fundamental difference between managing a solo traveler and a coordinated group.
We do not believe it is fair for solo travelers and group travelers to pay the exact same price. Travel logistics—ranging from hotel room blocks to the fuel in a support vehicle—are inherently more efficient when shared among several people. When you book as a group, those “shared” costs are split, allowing us to offer a lower per-person rate. Conversely, a solo traveler requires the same amount of administrative coordination and, often, a private room that could have otherwise accommodated two people.
Our Guiding Principle: Groups always offer better value per person than solo travel. This isn’t just a discount; it’s a reflection of shared efficiency.
2. Solo Travelers and Pairs: The Baseline
The Single Supplement
For those who prefer the independence of solo travel, we provide a dedicated experience. However, because our base prices are calculated on double occupancy, solo travelers will incur an additional single supplement. This fee covers the cost of a private room and ensures that the fixed costs of the tour are met without being subsidized by other travelers.
The Power of Two
Groups of two are our most common booking size. Whether you are traveling with a partner, a friend, or a family member, we offer total flexibility in your sleeping arrangements.
Double Room: A single large bed for couples.
Twin Room: Two separate beds.
Pricing: The price remains identical regardless of room type. We believe your comfort shouldn’t come with a complicated price tag.
3. The Trio Dynamic: Flexibility and Refunds
When your group consists of three people, logistics become slightly more complex. We offer two distinct paths to ensure your group is accommodated fairly.
The Triple Room Refund
If your group of three chooses to stay together in a Triple Room, you are helping us save on accommodation costs. As a thank you for this efficiency, Kuda Travel will issue a partial refund to the group. This makes the triple-share option the most economical way to travel for small groups.
Split Rooms and Supplements
If your group of three prefers more privacy and opts for one Double/Twin room and one Single room, the efficiency is lost. In this scenario:
Two people pay the standard rate.
The third person, occupying the single room, must pay the additional single supplement.
This ensures that the costs of the extra room and the associated logistical overhead are covered fairly.
4. Groups of Four: The “Private Group” Milestone
A group of four is a significant milestone in our pricing structure. At this level, the price per person remains at the competitive “Group of 2” rate, but the benefits increase exponentially.
Your Right to Privacy
If you book as a group of four, you have the right to request a Private Group tour.
Normally, smaller bookings are grouped together to fill a tour departure. However, with four people, we have reached a “critical mass” where we can dedicate a guide and support structure exclusively to your party. This means you can ride at your own pace, stop when you want, and enjoy the camaraderie of your chosen friends or family without outside participants.
5. Large Groups (5–15 People): The Professional Support Tier
When a group reaches five or more participants, the logistics of a cycling tour change fundamentally. You transition from a “tour” to a “mobile operation.”
Why is the price higher for 5 people than for 4?
It may seem counterintuitive that the price increases slightly when you add a fifth person. However, at five participants, our standard vehicle setup reaches its limit. To ensure safety and equipment integrity, we must deploy a dedicated minivan specifically to transport bicycles separately.
We refuse to “cram” gear and people into insufficient space. The higher price for a group of five is not a penalty; it is a mandatory upgrade to a professional support tier that includes services we believe are essential for a group of this size.
The Fixed-Price Support Model (Groups 5–15)
Typically, the per-person price remains fixed for groups between 5 and 15 people. This is because as the group grows, so does the “support armada” required to keep you safe and moving. This fixed price includes:
Professional Mechanics: A dedicated technician to handle mid-ride repairs, gear tuning, and emergency fixes.
Support Guides: Additional on-bike or in-vehicle guides to manage the spread of the group (fast riders vs. relaxed riders).
Sweep Trucks & Pickup Vans: Dedicated vehicles that follow the group to provide hydration, nutrition, and a lift for anyone who needs a break from the saddle.
We believe a higher price for a group of five is reasonable because it guarantees a level of service—mechanics, extra trucks, and specialized transport—that smaller groups simply do not receive. We bundle these into one fixed price so you aren’t hit with “hidden fees” for the support you actually need.
